Before the doors open: a cleaning business and its paperwork

Q: I am opening a cleaning business. Which licenses, permits and registrations may apply to me?

A: Let us walk through what your cleaning business may need, piece by piece, so nothing surprises you on opening day.

1. Business license: A business license for a cleaning business MAY ask whether you clean homes, businesses or both, how many crews and vehicles you run, and whether you hire helpers.
2. Home occupation permit: A home occupation permit MAY apply if you run bookings and store mops, buckets and supplies at home, typically with limits on client visits, signs and work vans parked on the street.
3. Bonding or janitorial registration: Some cleaning companies may need to be bonded because crews work unsupervised in other people's spaces.
4. Surety bond certificate: A bond that protects clients against theft or damage by staff may be requested.
5. Chemical storage statement: A short note on how cleaning products are stored and labeled may go with the application.
6. Company papers: A DBA, an LLC or a tax ID number MAY make sense for your cleaning business, and we prepare all of these documents on this site, so everything can be ordered in one place.

One service fee covers more than one license. If you order a business license and it turns out you also need another one, for example a home occupation permit, we obtain both for the service fee of the business license. Annual tax and application fees charged by the govt are not part of our service fee: we find the applications and fill them out for you.

Why people love this line of work

Supplies cost little, and a gleaming bathroom or a vacuumed rug with fresh stripes is the kind of before-and-after people proudly show off.

Picture it

Rosalind clipped her new Fresh Linen Crew badge to her apron, then waited for the license before taking on a single living room.

The reason owners form an LLC

A cleaner slips on a freshly mopped floor at a client's home, and the injury claim could be aimed at your own bank account.

Codes and counts

Business code (NAICS): 561720 (Janitorial Services). This page lists 6 paperwork items for a cleaning business, and each one is marked as something you MAY need, since we confirm which apply.

Tip: Write down exactly which rooms and tasks each visit covers so a client's expectations match your checklist.

The only thing that disappears faster than dust in this job is the client's remote control.

Ready when you are: start your order and we will find out what applies to your cleaning business, fill out the applications and keep the paperwork moving.

You can choose to be a(n) Cleaning Business :

  • Sole Proprietor,
  • LLC,
  • Corporation or
  • Partnership.
After you decide and select your business entity, you need licensing.

Lubbock Business Tax Registration ( Business License)
All businesses including home, online or mobile BUSINESS need a BUSINESS license because they are BUSINESSES.

A(n) Cleaning Business business using a fictitious business name in Lubbock County i.e. you are a business with a trade name other than the owner's legal (full name) name are required to get a(n) fictitious business name.   For instance you open a(n) Cleaning Business business and you name it "Superior Cleaning Business Group". You will need to file a fictitious business name for that name.

In addition note that in TX you may also need a seller's permit if you sell merchandise that is taxable.  (A.K.A state id, wholesale, resale, reseller certificate, about $39 for most states).
Seller's Permit

Note: All businesses need a federal tax ID number except sole proprietors that are not employers and are not independent contractors.
An independent contractor is a self employed business person that receives more than $600 per year from anyone of his or her clients.
IRS rule: The client must issue a 1099 form to the independent contractor and the independent contractor must have a federal tax ID. However, even sole owners may obtain a federal ID and use it as a business tax ID instead of using their own social security number as a business tax ID number.
However, all other licenses that apply to sole proprietors as discussed here are requited regardless of getting a federal tax ID number.

In addition you will need a federal and a state EIN if you will hire employees. I.e., a TX Federal Tax Id Number ($29)  and a(n) TX  State Employer Tax Number

Instead of filing a fictitious business name DBA Filing (about $49 plus state and legal newspaper publication fees) in Lubbock, Incorporate in TX  or form a(n) TX LLC
.

You have a choice to file a DBA or form an LLC or incorporate. There is a cicrcumstance that you may not need to register a trade name and that is when you use your full name as a business name if you use your full legal name as a trade name.
Also note that even using your first and last name may not help you avoid filing a DBA if the name has a suffix such as "& sons" etc.

If you do form an Sole Proprietorship llc or incorporate (about $49 plus state fees for most states) your Cleaning Business business instead of just filing a fictitious business name (dba), that insurs that you don't have personal liability for debts and civile liabililty arising from your business dealings and you will not have to record the Lubbock business name. Instead of just registering your Lubbock County assumed business name (our fee includes assumed business name registration and legal newspaper publication) you can choose to setup a corporation in TX or form an TX LLC (starts @ $49 plus state fee for most states & includes required documents such as bylaws for the corporation and Limited Liability operating agreement for the LLC). .
